Follow Up Boss Actions

The Follow Up Boss (FUB) Actions feature allows you to automatically trigger actions inside Mailbox Power based on specific events that occur in your Follow Up Boss account.

This means you can instantly start automations, add contacts to groups, or add tags when a contact’s information changes in FUB — without any manual steps or third-party tools.


What You Can Automate

Mailbox Power currently supports three types of Follow Up Boss triggers:

1. Tag Added

This trigger runs whenever a contact receives a new tag in Follow Up Boss.

Common uses:

  • Add new leads to a welcome sequence

  • Send onboarding materials when a tag like “Active Client” is applied

  • Add contacts to a birthday or holiday group when you tag them accordingly


2. Deal Stage Updated

This trigger runs whenever a contact (or deal) is moved into a specific deal stage within Follow Up Boss.

Supported stages include:
Lead, Hot Prospect, Nurture, Active Client, Pending, Closed, Past Client, Sphere, Trash, Unresponsive

Common uses:

  • Send a personalized gift when a deal moves to Active Client

  • Kick off a post-closing campaign when a deal becomes Closed

  • Add clients to long-term nurturing when moved to Past Client


3. QR Code Scan

This trigger runs when someone scans a QR code created in Mailbox Power and that scan is associated with a contact in Follow Up Boss.

Common uses:

  • Tag contacts who engage with your print campaigns

  • Trigger follow-up emails or automations in FUB

  • Identify which contacts respond to mailers in real time


Available Mailbox Power Actions

Once a trigger fires, you can choose the action Mailbox Power should take:

1. Add to Contact Group

Automatically add the contact to one of your existing Mailbox Power groups.

Example:
When deal stage becomes Active Client → Add to Active Clients group.


2. Add to Automation

Start any Mailbox Power automation for that contact.

Example:
Tag added “New Lead” → Start Welcome Series automation.


3. Add Tag in FUB (QR only)

If the action is based on a QR scan, you can add a tag back into Follow Up Boss for tracking or follow-up.

Example:
QR code scanned → Add tag MailboxPower-QR-Scan in FUB.


How to Create a FUB Action

Follow these steps to create an automated rule:


Step 1: Go to Follow Up Boss Integration

  1. Log in to Mailbox Power.

  2. Go to Integrations → Follow Up Boss

  3. Scroll to FUB Actions

  4. Click Create New Action

Step 2: Choose a Trigger

Select which Follow Up Boss event should start the automation:

  • Tag

  • Deal Stage

  • QR Code Scan

Depending on your choice:

  • Tag requires you to type the tag name exactly as it appears in FUB

  • Deal Stage requires selecting the stage from the dropdown

  • QR Code Scan requires entering the FUB tag to apply when scanned

Step 3: Choose Your Action

Pick what Mailbox Power should do when the trigger fires:

  • Add to Contact Group

  • Add to Automation

  • (For QR scans) Add Tag in FUB

If applicable, choose:

  • The specific contact group

  • The specific automation

  • The tag to apply

Step 4: Save Your Action

Click Save Action.
Your new rule will now appear under Your FUB Actions, where you can:

  • See all existing rules

  • Edit or delete them

  • Search through actions

Your automation is now live.


Examples

Example 1 — Add Active Clients to a Group

Trigger: Deal Stage → Active Client
Action: Add to Contact Group → Active Clients

Use case: Automatically keep your client list up to date.


Example 2 — Start a Welcome Automation

Trigger: Tag → New Lead
Action: Add to Automation → Welcome Series

Use case: Make first contact without manual steps.


Example 3 — Track Engagement from Mailers

Trigger: QR Code Scan
Action: Add Tag in FUB → Mailer-QR-Scanned

Use case: Know exactly who engaged with your direct mail and follow up instantly.


Best Practices

Use Exact Tag Names

Tags must match exactly (case sensitive) to ensure the trigger fires.


Test with Your Own Contact

Add a test tag or move your test contact through stages to ensure your automation is working.


Avoid Overlapping Triggers

If two actions use the same trigger, both will fire. This is powerful — but be intentional.


Use QR Codes for Attribution

QR code scans give you real-time insight into who is responding to your mailers — extremely helpful for tracking ROI.
